KT Health Fund General Rules & Guidelines

K.T HEALTH FUND – RULES AND GUIDELINES

(For Clients & Staff Awareness)

1️⃣ Purpose

The K.T Health Fund helps members access affordable, quality health services through small monthly contributions.
Members enjoy discounts and selected free services according to their subscription tier.

2️⃣ Membership

1. Anyone can join by paying the monthly fee for any tier (Bronze to Executive).
2. Membership starts on the date of payment and lasts for subscribed period.
3. Renewal can be done monthly or quarterly at the same or higher tier.
4. Each member receives a receipt or card showing their name, tier, and expiry date. This information is available on K.T Memorial Hospital App and website.
5. A member who joined before pregnancy keeps full rights when they start ANC.

Example: If you already belonged to the Fund, your ANC services will follow your active tier benefits—no new payment required until your current month ends.

3️⃣ Benefits

1. Each tier carries a set discount (5 % – 40 %) on all normal services except surgeries and specialist`s consultation fee.
2. Certain tests and consultations are free depending on the tier (for example malaria test, BP check, or GP consult).
3. Members are encouraged to present their membership card or receipt before receiving services.
4. Benefits apply to:
• Out-patient visits
• ANC / Post-natal care
• Deliveries
• Admissions
• Laboratory and imaging tests
• Pharmacy items (where discount is allowed)

4️⃣ Renewal & Lapse

1. The system follows a 30-day cycle.
2. If a member fails to renew, benefits stop automatically until payment is made.
3. There is no penalty for late renewal—membership resumes from the new payment date.

5️⃣ Family Accounts

1. A member may register dependants under one family code.
2. The family account balance can be used by any listed dependant.
3. If a family account goes beyond its deposit, the system records it as temporary debt until topped-up.

6️⃣ Payments

1. Payments can be made in cash, by mobile-money code, or through FlexiPay (Stanbic).
2. Always obtain an official K.T Health Fund receipt.
3. All payments are deposited directly into the hospital’s official account.

7️⃣ Service Verification (for Midwives and Staff)

1. Confirm the member’s tier and expiry date before giving a discount or free test.
2. Tick or sign the card beside each service used.
3. Record every transaction in the Health Fund Register and Service Sheet.
4. If unsure, charge the normal fee and consult the supervisor before adjusting.

8️⃣ Refunds & Transfers

1. Fees are non-refundable.
2. Membership is transferable only to registered family dependants.

9️⃣ Discipline and Fair Use

1. Misuse of cards, fake receipts, or sharing membership with non-members leads to cancellation.
2. Staff must handle all members with respect and confidentiality.
